Returning Student Procedures

18. Return to Home Campus
Both host and home coordinators play key roles when students return to their home campus. The responsibilities below should be adapted to meet the needs of individual institutions and students.
 
18.1 Responsibilities of the Host Coordinator

Host coordinators are responsible for:

  • Informing students of check-out procedures
  • Providing a formal farewell (letters, socials, or similar)
  • Advising students on procedures for requesting official transcripts
  • Offering exit interviews or other evaluation opportunities to assess the exchange experience
18.2 Responsibilities of the Home Coordinator
18.2.1 Maintaining Contact Home

coordinators should maintain regular contact with students throughout the exchange. Students should receive a checklist and timeline outlining when to expect materials from the home campus. In addition to Enrollment Verification Forms, students should be encouraged to provide their current address to the home coordinator.

18.2.2 Re-Entry Materials

The following materials should be sent to returning students with sufficient lead time to meet registration and housing deadlines:

  • Re-entry forms
  • Course schedule
  • Registration forms and instructions
  • On-campus housing information

Students receiving financial aid should be reminded to submit their FAFSA according to home campus deadlines.

18.2.3 Re-Entry Process

Most NSE members enroll outgoing students in an NSE holding course to maintain continuing enrollment status, enabling timely registration upon return. Home coordinators should ensure returning students have full access to all campus services as if they had not left.

18.2.4 Recording Exchange

Work Students are responsible for requesting an OFFICIAL TRANSCRIPT from their host campus. Home coordinators should confirm receipt of host campus transcripts and ensure exchange coursework is posted to the permanent record and credited per the advising agreement. NSE strongly recommends that the permanent record reflect: the student's participation in NSE, the host institution attended, courses completed, grades earned, and inclusion of those grades in the cumulative GPA.

18.2.5 Surveying Returning Students

In addition to the end-of-term survey administered by NSE HQ, home coordinators should provide their own evaluation opportunity. Student feedback offers valuable insight for program quality and improvement from both home and host perspectives.

18.2.6 Assistance with Program

Administration Returning students are a valuable resource for program promotion and management, particularly in recruiting prospective applicants and providing candid perspectives on the exchange experience.
